Data protection complaints

This page explains how to complain to us about the way we have handled your personal data, and what you can expect from us. It supplements our Privacy & Cookie Policy.

Your right to complain

Sophrology Limited, trading as SophroSport is the controller responsible for your personal data. If you believe we have handled your personal data in a way that does not comply with data protection law, you have the right to complain to us directly. This applies to anyone whose personal data we hold – clients, prospective clients, newsletter subscribers, event attendees and website visitors.

How to make a complaint

You can make a data protection complaint by email or post:

You do not have to use a particular format. We will accept a data protection complaint however it reaches us. Please tell us your name, how to contact you, and what your complaint is about.

What happens next

  • Acknowledgement. We will confirm we have received your complaint within 30 days of receiving it, and tell you what will happen next.
  • Investigation. We will look into your complaint without undue delay, make any enquiries needed, and keep you informed of progress. We may ask you for more information if we need it to understand your complaint.
  • Outcome. We will tell you the outcome without undue delay, explaining what we found and what (if anything) we have done in response. We aim to provide an outcome within three months, and sooner where we can; if a complaint is unusually complex we will explain why it is taking longer.

If you are unhappy with our response, you can ask us to review it by contacting us using the details above.

You also have the right to complain to the Information Commissioner’s Office (ICO) at any time – you do not have to wait for our internal process to finish:
